Why WhatsApp reminders outperform SMS and email
A WhatsApp message is opened, and it is opened quickly; an SMS is ignored and an email is buried. More important, WhatsApp lets the customer answer in the same thread. A reminder that says "reply 1 to confirm, 2 to reschedule" turns a one-way notification into a decision, and it is the decision that protects your schedule, not the notification.
How the reminder works, step by step
Approved Meta template
Reminders are messages your business sends first, so they go out as a template approved by Meta. Agentaria submits the template for you during setup; once approved, it is reused for every appointment with the name, date, time and service filled in.
Timing (24h / 2h)
By default one reminder goes out 24 hours before the appointment. Clinics and salons with a high late-cancellation rate add a second one two hours before. Both timings are yours to change.
Confirm, reschedule or cancel in one word
The customer replies with one word. A confirmation marks the slot as confirmed in your inbox. A reschedule request starts a short exchange with the agent to find a new time, or is handed to your desk, depending on your settings. A cancellation frees the slot immediately and notifies your team so it can be offered to someone on the waiting list.
For salons: reducing no-shows on peak days
Saturday is where no-shows cost the most. With reminders on Friday and one-word confirmation, the unconfirmed Saturday slots are visible on Friday afternoon, when there is still time to fill them from the waiting list or from a same-day post.
For clinics: reminders with preparation instructions
A clinic reminder carries more than the time. Fasting before a blood test, bringing previous results, arriving fifteen minutes early for paperwork: the instructions go in the template, so the patient who arrives is a patient who can be seen. Reminders never contain results or medical details.
Pricing
Reminders and automated follow-ups are included in the Growth plan ($399 per month) and the Pro plan ($499 per month). On the Starter plan ($199 per month), which covers one mission, you can choose reminders as that mission. Meta's conversation fee for a utility template is charged to your Meta account and is a few cents per reminder.
